WhatsApp Business API

What Is WhatsApp Business API and How Does It Work?

The WhatsApp Business API lets a business run WhatsApp through software: shared inbox, templates, automation and integrations. Here is how it actually works.

If you have ever received an order update, an OTP or an appointment reminder on WhatsApp from a company rather than a person, you have already used the WhatsApp Business API as a customer. This guide explains what it is from the business side, how it differs from the app on your phone, and what it takes to get started.

What the WhatsApp Business API is

Meta offers WhatsApp to businesses in two forms. The WhatsApp Business app is a free mobile app for one person on one phone. The WhatsApp Business Platform, which most people still call the WhatsApp Business API, is a programmatic interface: there is no app to open; instead, your software or a provider's platform connects to WhatsApp and sends and receives messages on your business number.

Because it is software-driven, the platform supports things the app cannot: many agents working from one number, automated replies and workflows, message templates sent to thousands of opted-in customers, and integration with your CRM, website or order system.

How messaging works on the platform

Incoming messages and the 24-hour window

When a customer messages your business number, WhatsApp delivers it to your connected software through a webhook. This opens a 24-hour customer-service window during which you can reply with any free-form text, media or interactive message. Each new customer message extends the window.

Outbound messages and templates

To message a customer outside that window, or to start a conversation, your business must use a message template that Meta has approved in advance. Templates fall into categories such as marketing (offers, launches), utility (order updates, reminders) and authentication (one-time passcodes). Templates can include variables, images, documents and buttons.

Conversation-based pricing

Meta charges per conversation rather than per message, with rates that vary by category and country. Your provider may add a platform fee for the inbox, automation and support. Because pricing changes from time to time, ask for the current structure before you budget.

What you need to get started

  • A Meta Business account, ideally verified, with your legal business details.
  • A phone number that is not currently registered on the regular WhatsApp or WhatsApp Business app, or one you are willing to migrate.
  • A display name that reflects your business and meets Meta's naming guidelines.
  • A provider or software platform that connects to the API, such as the one Vyapar Automation sets up for clients.
  • Your first message templates, drafted for approval.

Quality rating and messaging limits

Each business number has a quality rating based on how customers react to your messages, including blocks and reports. New numbers start with a daily limit of 1,000 unique contacts for business-initiated conversations; the limit increases as you send high-quality messages at volume. Sending to people who did not opt in is the fastest way to lower your rating and your limits.

When should a business move to the API?

The app is fine while one person can handle every chat. Signs that you have outgrown it include enquiries being missed because the phone is with someone else, the need to send the same announcement to hundreds of customers, a desire to automate repetitive answers, or a requirement that WhatsApp conversations appear in your CRM.

Vyapar Automation handles the full onboarding, from documentation and number migration to template approval and inbox setup, and then builds the automation and integrations on top. If you are weighing the move, book a demo and we will tell you honestly whether it is the right time.

Frequently asked questions

The platform itself has conversation-based charges from Meta, and providers typically charge for software and support. Incoming customer messages within the service window are generally not charged.

No. A number is registered either on the app or on the platform, not both.
